November '00 RUG Board Meeting Minutes
A discussion was held with Mario about the Ingram Prime Source Product. The inventory is posted in receiving.before it is sucked into AP. At the AP level the changes will not affect the inventory counts or retail, it will just affect the cost of the invoice doesn't post inventory differences. They can also generate the tags, and the books come tagged. The boxes can have a zone on them and you can just drop the box at it's location without ever opening it.
Portland State, and University of Colorado and Cornell are all running or will be running 7.01 by next week. Nacscorp is not included in 7.01. It will be added maybe by December 7.03 (maybe).
Send copies of the bug fixes out with the letter to the group from this meeting. (Delta document from mark release 7.01 delta notes)
You have to sign up for a program with Ingram if you want to use this. It is maybe $100.00 a month.
Anyone who has 7.0 can easily get the newer programs. At some point Sunbelt is going to have to stop maintaining the older releases. They plan to get 7.0 out quicker to everyone.
Computer Store Review 7.1
The new piece in this release is the computer store module. University of Minnesota is going to be the beta site for this. (Target date December) (Kevin Mayhew is the person finishing the computer store module) Mark has not worked on this much because he is working on 7.0 bug fixes. This is going to be an add-on to the merchandise package. There will be a one- time charge for this add-on to general merchandise. The make-up break down would be added even if you don't buy the computer store piece.
Support
Ron and Denise are working on the front log (new calls). Tom and Jeff are working on the old list. If they fix something and then make three calls to have the client check the fix and get no response they consider it closed.
It is much easier for Sunbelt to solve problems if they receive details on the problems, especially examples.
They are finding they need three clients to test a release.
A letter from Tom went out to the main contact person about the web support abilities. Everyone has their own ID and there is only one password for the school.
In the future the goal is to get the alerts on the web. It is better for Sunbelt if you do the problems on the web instead of email, because they have to enter the emails over. The web site prompts you through so everyone enters things the same way. You can copy things in but you can't attach a file. Through the web you get an incident ID right away.
Tom Kenny would like to know from the group if the new service system is working for you. A survey should be going out from Ratex.
There is now a status for a support call called enhancements. A school writes in and tells them something they did that they think Sunbelt should use. Tom will give the advisory board copies of these things he considers enhancements, so they can go through the appropriate channels.

Opening reception will be at the Sheraton. Opening reception will be in Hadleys. Jeff is working with Thomas Weitzel, our conference planner.
In March, we will decide on the menu's. Which night should we make the open night? Probably Monday. Morning we will need a continental breakfast. Should we start the days at 9? Agenda for the business meeting. Presenters tell about themselves, their store and what they are running, Call for presenters will be sent out by Kevin. Send out the feelers early February. With minutes from this meeting remind them about the meeting. Go with the two tracks again. T-shirts and pad folios

Ask Sunbelt to come up with some training ideas. Prices, times and dates. If we do it they have to commit and do it even if there is only one person. We have to make sure if the training is at their office and we provide a means of transportation. (Training sessions, lets send out feelers for this.) Ratex is working with a facility to set up training all the time. Pricing has not been set yet.
Have Jeff find out if they will cut us a deal on the buffet breakfast, so our people can just eat there before they come to the meeting.
Do we want to consider Atlantic City as one of the nights?
Keep prices down on night time activites, especially Tuesday night.
Do we want to find out about the baseball game.
How about the historical stuff in Phili.?
We will go to the Visitors center.
We have to make a trip to Sunbelt. Maybe that should be the planned night. We will have to make sure people have the correct directions to Sunbelt.We will plan dinner for that area. We need to send out info on the board of directors, letting people know what would be required if they are on the board of directors. This would be handed out at the beginning of the meeting, or mailed with the package.
The group will decide items while working on their next big project which is going to be AR.
We will ask them to do the following by March....
Accounting: Chargeback Cancellations New: Customer service inquiry screen RCV: Tag sorting option by author, PO line number, Description, etc.
Board Of Directors Expenses
The board of directors has agreed to the following expenses:
1. Travel expenses, plane, train, car, etc. to get to the meeting
2. Meals including all meals while getting to, from and attending the meeting. Does not include days you choose personally to add on to your trip.
3. Mileage, parking at your airport.
4. One car will be rented for the group. Also fare from airport and back for anyone who can't get here at the same time as others.
5. Reasonable phone access charges.
6. Reasonable tips for taxis, rooms, baggage, etc.
7. Hotel rooms for the meeting are covered
8. Additionally committee expenses should hold up to group scrutiny. Note: According to our by-laws all expenses are sent to the treasurer for payment, approved by the president.
I will type this up and send it out to the board. We also need to create a list of what people should expect if they are on the board of directors, to be handed out at the beginning of the meeting, or mailed with the package.
The group will decide on a weekend in March. Look at the 9th or the 23rd and get back to Bill. The entire meeting will be at the hotel. We have to make sure the hotel personnel will be available that weekend.
